Frequently asked questions
The questions funeral directors ask us most. If yours isn’t here, we’re glad to answer it — just ask.
Do families need to create an account or log in?
No. You send the family a secure link. They fill in the details they know, at their own pace, on their own phone — no password, no account, nothing to install. Their answers flow straight into your review.
Does Valedis replace my state’s filing system?
No — it works alongside it. Valedis handles the part that’s painful: gathering accurate information, catching the errors that get certificates rejected, chasing certifier signatures, and preparing a clean, complete record. You still file through your state’s system; we just make sure what you file is right the first time.
What happens if a medical certifier is slow to sign?
That’s exactly what Valedis is built to take off your plate. We track the certification deadline and send the certifier gentle, automatic reminders — with escalation if time runs short — so you’re not the one making the awkward follow-up calls.
Does the physician need to create an account?
No. The physician — or their nurse — receives a secure link by email, clicks it, reviews the case, and provides the cause of death. Nothing to install, no password, no account. Valedis records it, updates your tracker automatically, and keeps sending gentle reminders with escalation until it’s done. The binding certification still happens in your state’s EDRS; Valedis captures the cause of death and makes sure nothing stalls on the way there.
How does Valedis prevent a certificate from being rejected?
Before anything is filed, Valedis checks the record against the common reasons certificates get sent back — missing or incomplete fields, names that don’t match across documents, an unsigned certification. It flags issues while you can still fix them in seconds, instead of weeks later.
Is our families’ information secure?
Yes. Data is encrypted in transit and at rest. Role-based access means each staff member sees only what their role requires. Every change is logged in a tamper-evident audit trail. Family information is hosted in the United States and is not sold to advertisers or data brokers. We’re building toward formal compliance certifications and won’t claim standards we haven’t met. If you have specific security questions, we’re glad to answer them directly.
How long does it take to get started?
Most homes are up and running the same day — there’s no hardware to install and no training marathon. We walk you through setup on a short call and you can move your first case through the platform right away.
What does it cost?
Starter at $199/month (up to 75 cases/year), Core at $349/month (75–175 cases), and Practice from $599/month for high-volume or multi-location homes, priced by locations and volume. Each plan has one flat $199 one-time setup fee — less than a single month’s subscription — which covers a founder-led setup and walking your first real case with you. If that first certificate doesn’t file clean, we refund it. Annual billing saves roughly two months’ cost. No per-case charges on top of your subscription, and no long-term contract on monthly plans. Founding pilot homes get 30 days free and a $135/month rate locked forever, and pay the same one-time $199 setup — refunded, like everyone’s, if that first certificate doesn’t file clean. Full details are on the Pricing page.
Which states do you support?
Florida is live now. We’re expanding across the Southeast — Georgia, Louisiana, Alabama, South Carolina, and Tennessee — through 2026. If your state isn’t live yet, tell us when you request a demo. It helps us prioritize.
Can more than one person at our funeral home use it?
Yes. Owners, directors, and office staff each get appropriate access, so the whole team can move a case forward without stepping on each other.
What if we already use software for arrangements?
Valedis focuses on the certificate-and-filing workflow specifically — it complements your existing tools rather than replacing them.
Do we have to download or install anything?
No. Valedis runs in your web browser — nothing to download, no software to install, no IT help needed. It works the same on a Mac or a PC. On a phone or tablet, you can add Valedis to your home screen in two taps and it opens full screen, just like an app. Families and physicians install nothing either — they simply get a secure link.
What devices does it work on?
Any device with a web browser: the office computer, your phone, a tablet — Mac or Windows, iPhone or Android. You sign in the same way everywhere and your cases follow you. Most directors keep Valedis on their phone’s home screen so they can check a deadline or approve a reminder without going back to the office.
